ClickUp Custom Fields: Designing the Data Your Gulf Team Will Report On
How ClickUp Custom Fields work — field types, locations, task types, roles, AI Fields and Brain — and how Gulf teams design a small, bilingual field set for currencies, phone numbers, locations and approvals.
Quick answer
ClickUp Custom Fields add structured data to tasks — dropdowns, money, dates, people, phone numbers, locations, formulas, AI Fields and more. You add them to a Space, Folder, List or the whole Workspace, or by task type. For Gulf teams, the rule is simple: design a small, owned field set before you build reports.
Ask any Gulf operations manager what they want from ClickUp, and the answer is usually a report: which client projects are at risk, how much is still to be invoiced in AED, which approvals are waiting in Doha, which tickets came from the Kuwait office. Then the first dashboard is built, and the numbers do not add up — because half the team typed the client name in a task title, a quarter put it in the description, and the rest wrote it in Arabic.
Custom Fields are how ClickUp prevents that. Think of them like a customs declaration form at Jebel Ali: every shipment carries the same boxes — origin, value, currency, consignee — so the port can sort thousands of containers without opening each one. A task with well-designed Custom Fields can be filtered, sorted, automated and reported on without anyone reading it. This guide explains how Custom Fields work, based on ClickUp's help documentation, and how to design a field set that serves a bilingual Gulf team.
What Custom Fields are, and where they live
A Custom Field is a structured attribute you attach to tasks, beyond the built-in ones such as status, assignee, priority and due date. Custom Fields are enabled through the Custom Fields ClickApp, which can be activated for the Workspace or for specific Spaces.
There are two ways to apply a field. Custom Fields by location are added to a Space, Folder, Subfolder, List or the entire Workspace; a field added to a List appears on every task and subtask in that List, and a field added to a Space flows down to everything inside it. The same field can be reused in several locations. Custom Fields by task type, by contrast, appear on tasks of a given custom task type — for example every 'Client request' or 'Purchase approval' — wherever those tasks sit in the Workspace. You can use both on the same task. Availability of task-type fields, pinning and usage limits varies by plan, so check your Workspace before designing around them.
The field types that do the most work
ClickUp offers more than twenty field types. In practice, a handful carry most of the reporting load:
- Dropdown and Labels — controlled lists of options (up to 500 each), with colours and ordering. Dropdown takes one value; Labels work like tags and allow several. These are your reporting dimensions: entity, country, service line, request type.
- Money and Number — formatted amounts in any currency, and plain numeric values. Money is what turns a task list into a pipeline or a budget view.
- Date — a custom date and time beyond the start and due dates, such as contract signed, permit expiry or go-live.
- People — a person or Team, useful for roles that are not the assignee: account manager, approver, reviewer.
- Formula, Relationships and Rollup — calculations between fields (budget minus cost), links between tasks, and values pulled from related tasks such as due date, status or time tracked.
- Progress, Rating, Voting, Checkbox, Files, Signature — specialised fields for completion, prioritisation, sign-off and evidence.
- Email, Phone, Website and Location — formatted contact and place data; Location works with Map view.
The Gulf details worth designing for
Currency comes first. A Money field has its own currency setting, so a group with entities in Dubai, Doha and Kuwait City should decide early whether each entity's Lists use their own field (AED, QAR, KWD) or whether one reporting currency is used across the Workspace. Mixing currencies inside a single field makes every sum on a dashboard meaningless.
Phone fields store country codes, set per number with the flag icon, so +971, +974 and +965 numbers stay readable and clickable. Use them instead of Text fields — ClickUp's documentation is explicit that URLs, locations and similar data typed into a Text field will not behave as intended.
Location fields rely on Google Maps data. Many Gulf sites — a warehouse plot, a villa in a new community, a project in a free zone — do not resolve to a clean street address. ClickUp's guidance is to use Google Maps Plus Codes when an address cannot be found, or to fall back to a Text field when you do not need Map view.
Language is the last detail, and the one most teams skip. Field names and dropdown options are shared everywhere the field is used — ClickUp states that a Dropdown cannot have different options in different Spaces or Lists. That is a strength for reporting and a trap for bilingual teams. Either agree on one working language for field names, or write options in both languages in a consistent pattern, such as 'Approved · معتمد'. What you must avoid is two fields — one English, one Arabic — that hold the same data and split every report in half.
Who can create fields — and why that should be a short list
According to ClickUp's role documentation, members and admins can create Custom Fields and add new Dropdown or Label options; on some plans, members need a 'Manage Custom Fields' custom-role permission. Guests and limited members with edit permission can fill in field values on tasks, but cannot create fields or new options. Individual fields can also be hidden from guests and limited members, which matters when agencies or clients work inside your Workspace and a Money or margin field should stay internal.
The practical rule is the same one we apply to templates: field creation should sit with a small group of Workspace owners. ClickUp gives you tools to clean up afterwards — you can edit, move, convert, merge, duplicate and delete fields — but every merge is a migration in miniature. Note too that adding a field as a column at the Everything level adds it to every task in the Workspace; that is rarely what the person clicking intended.
AI Fields and Brain: fields that fill themselves
Some field types include AI Fields. Long Text fields offer Summary, Progress Updates, Translation and Action Items; Text fields offer Sentiment; Dropdown fields offer Categorize and T-shirt Size; and several types support custom autofill with AI. For a bilingual team, a Translation field on a client request is a simple way to give the Arabic-speaking and English-speaking halves of a team the same brief — though a person should still review anything that leaves the company.
Custom Fields also make ClickUp Brain and Agents more useful. ClickUp lists the field types Brain searches when you ask about a task — including Date, Email, Location, Number, Phone, Text, Long Text, URL, Dropdown, Label, Checkbox and Money — and you can ask Brain to find or update field values in plain language. Structured data is what lets an AI answer 'which Qatar projects over budget are due this month' instead of guessing from task titles.
A starter field set for a Gulf services company
Most companies need fewer fields than they think. For a consultancy, agency or IT services firm working across the UAE, Qatar and Kuwait, this set covers most reports in the first quarter:
- Entity (Dropdown) — the legal entity that owns the work, e.g. Dubai mainland, DMCC, Doha, Kuwait.
- Client (Dropdown or Relationship) — one controlled list, never free text.
- Request type (Dropdown) — the categories your intake form uses, so forms and reports speak the same language.
- Contract value and Invoiced (Money) — in an agreed currency per entity, plus a Formula for the remaining balance.
- Approver (People) — the person whose sign-off moves the task forward.
- Approval date (Date) — so cycle time can be measured rather than argued about.
- Client contact (Phone and Email) — formatted, so the account manager can call from the task.
Three mistakes to avoid
The first is building fields before reports. Write down the five questions management wants answered, then create only the fields those questions need. Every extra field is one more box people leave empty.
The second is free text where a choice belongs. A Text field called 'Country' will contain 'UAE', 'U.A.E.', 'Emirates' and 'الإمارات' within a month. Use a Dropdown, and make required fields a deliberate decision rather than a default — required fields are not available on every plan, and forms are often the better place to enforce completeness.
The third is ignoring the formatting rules. ClickUp notes that commas are not supported in every field type, and that Formula Fields are not carried when a template is applied. Test a field in a sandbox List before rolling it out to a Space with live client work.
How BuyClickUp helps
BuyClickUp is an independent ClickUp partner operated by Inspark, serving companies in the UAE, Qatar and Kuwait. In every implementation we start from the reports your leadership needs and work backwards to a small, bilingual field set — currencies per entity, controlled dropdowns, AI Fields where they save real time, and a short list of people who can change the structure.
